Ricoh unveils innovative document security solution

News

London, UK, 4th February 2010 – Ricoh UK introduces the Flex Secure Print Suite – a highly scalable solution that provides network wide information and workflow security. Users can now monitor and control printer usage and maximise information security wherever documents are accessed.

As corporate document confidentiality, business productivity and competitiveness rise further up the business agenda, the Flex Secure Print Suite consists of a set of tools that combine powerful security and flexible print monitoring to give employees unprecedented control over the digital distribution and printing of documents within their organisation.

‘Leading edge’ document security
Businesses can protect sensitive information and help maintain a competitive edge whilst meeting regulatory compliance requirements using the pioneering Flex Secure Print Suite. The Card Authentication Package (CAP) works in tandem with a company’s existing ID card security to control employees’ access to the print scan copy and fax functions of Ricoh machines. It also logs and tracks confidential data. This prevents sensitive documents from being viewed, copied or sent by unauthorised users.

Minimising environmental impact
Businesses looking for new ways to minimise paper wastage, energy usage and associated expenditure can take advantage of the Enhanced Locked Print NX (ELP NX) tool, which provides an ID card-based method for controlling access both to the hard copy printing and digital distribution of documents. The ELP NX holds information on a Ricoh machine until it is released by an identified user, so only the documents that the employee truly requires are printed.

“Anywhere between 20 & 40% of documents are not picked up from printers, resulting in confidentiality leaks, as well as excessive resource and energy consumption,” commented Neil O' Donoghue, Solutions Product Manager, Ricoh UK. “

The Flex Secure Print Suite set of tools work together to monitor, track and report user and device usage to analyse and control the various business inefficiencies that arise within the document management process.”

Ricoh’s Flex Secure Print Suite is a scalable solution, easily managing and monitoring small to medium, as well as larger cost-conscious businesses.

The Flex Secure Print Suite features summary:
• Ricoh Card Authentication Package (CAP): Fast, secure ‘swipe-and-go’ ID card authentication;
• Ricoh FlexRelease Server: Retrieve printed documents anywhere on the network*;
• Ricoh Enhanced Locked Print NX (ELP NX): Stores prints until they are released by the job owner;
• Ricoh SmartDeviceMonitor for Admin Accounting Report Package: Monitors and reports device usage to support cost management.

About Ricoh UK

Ricoh designs, develops and manufactures a complete range of print and document management, hardware, software and services which are tailored to meet individual customer needs.  Its devices print, copy, scan and fax documents as an integrated part of the IT network and enterprise content management system.  Software is used to audit usage, manage document flows, simplify business processes, control print expenditure and secure access.  The company takes an innovative approach to research and development, having invented the first digital black & white copier and introducing the colour-capable device.

Ricoh established an Environmental Protection Office in 1976, and has been striving to minimise the effect of its activities on the environment ever since. Ricoh UK’s environmental credentials are second to none; it operates a zero-waste policy at all of its manufacturing plants and is investing in carbon reduction technologies to reduce the environmental impact of its operations rather than merely offsetting its carbon footprint. The company operates a dedicated ‘Green Centre’, where old machines are re-commissioned and recycled in line with WEEE Directive guidelines and accredited with ISO14001:2004 for environmental management. Ricoh has been awarded the Carbon Trust Standard that requires an organisation to measure, manage and reduce its carbon footprint and, for the fifth consecutive year, has also been named as one of the "Global 100 Most Sustainable Corporations in the World" by the World Economic Forum in Davos.
